WispBooks is operated by Artherada, LLC. This policy explains what we collect, why we collect it, and the control you have over it. By creating an account, or by connecting a service like Square, your bank, or Gmail, you consent to the collection, processing, and storage of your data as described here. Your books are yours.
What we collect
Account details (name, email, business name and type), the receipts and documents you capture or forward, and — if you choose to connect them — read-only data from Square, your bank via Plaid, and receipt emails from Gmail. We also collect basic product usage and device logs to keep the service reliable. Payments are processed by Stripe; we never see or store your card number.
This website
This marketing site is static pages: it sets no cookies, runs no analytics, and has no forms — it collects nothing about you. Fonts load from Google Fonts, so your browser makes a request to Google's font servers when a page loads.
How we use it
To read your receipts, classify expenses, surface deductions, and keep a balanced double-entry ledger for you. Every AI-generated value carries a confidence score and provenance so you can check our work. We do not sell your data, and we never use your books, receipts, or emails to train models — ours or anyone's.
Connected accounts
Every connection is read-only. We never move money, change payouts, or post to your point of sale. Gmail discovery is opt-in and scoped to receipt-like messages over a fixed look-back window. You can disconnect Gmail in the app at any time — the token is revoked at Google — and we'll disconnect Square whenever you ask us to; syncing stops as soon as a connection is removed.
Bank connections and Plaid
We use Plaid Inc. to link your bank and credit-card accounts. When you connect one, you enter your credentials with Plaid — never with us — and Plaid gathers your transactions, balances, and basic account details from your financial institution and shares them with WispBooks so we can build your bank feed and reconcile your books. By connecting an account you grant WispBooks and Plaid the right to collect and process this information, and you acknowledge that data you provide to Plaid is handled according to the Plaid End User Privacy Policy. Bank connections are read-only: we can see your transactions, but no money can move through WispBooks. Ask us to disconnect a bank feed at any time — we remove the connection at Plaid, delete the stored access token, and syncing stops.
Sharing
We share data with subprocessors that run the service (hosting, storage, model inference, payment processing) under contract. We share with people you invite — your co-admin, bookkeeper, or accountant — at the access level you grant. We disclose to authorities only when legally required.
Retention and deletion
Receipts and ledger records are retained for seven years by default so your books stay audit-ready. You can export your expenses at any time — a year of filed expenses as CSV, with the receipt images. Ask us to delete your account and we remove your data within 30 days, except records we must keep by law.
Security
Data is encrypted in transit and at rest. Access is role-based, and posts, approvals, and corrections land in an append-only audit log. Receipt images are stored as immutable evidence tied to their journal entries.
Changes to this policy
If we change this policy, we'll post the new version here with a new date, and email account owners before a material change takes effect.
